Health and Safety Policy

Bee Inspired Coaching is committed to ensuring the health, safety, and wellbeing of all our associates and clients, in compliance with The Health & Safety at Work Act (1974). Although we operate in a remote environment, we recognize the importance of maintaining high standards of health and safety across all activities, including home-based working and virtual interactions with clients. This policy outlines our approach to promoting a safe working environment for remote associates and ensuring the welfare of all stakeholders.
 

Objectives
 

  • To promote a healthy and safe working environment for all remote associate coaches and counselors.

  • To ensure that all individuals are aware of potential risks and take steps to mitigate them.

  • To address the physical, mental, and digital health of our team of associates and clients.

  • To comply with all relevant health and safety laws and regulations, including the Health and Safety at Work Act 1974.
     

Responsibilities

  • Bee Inspired Responsibilities:

    • Provide the necessary tools, training, and resources to maintain a safe and healthy working environment.

    • Ensure that all associates are aware of and comply with this health and safety policy.

    • Address and support the mental health and wellbeing of associates.
       

  • Associate Responsibilities:

    • Take reasonable care of their own health and safety while working remotely.

    • Follow guidelines on proper ergonomic practices and mental health management.

    • Cooperate with the company’s efforts to promote health and safety.
       

Health and Safety Measures

Workstation Ergonomics
​

All associates working remotely must ensure their home office setup is ergonomically sound to avoid injuries such as repetitive strain injury (RSI), back pain, or eye strain. The company recommends:

​

  • Using a proper desk and chair that supports good posture.

  • Keeping the screen at eye level to prevent neck strain.

  • Taking regular breaks (every 60 minutes) to move and stretch.

  • Ensuring adequate lighting to reduce eye strain.

  • Make use of standing desk or ergonomic chair.

  • Stretch muscles prone to shortness through sitting (Hip flexors, Pecs, Hamstrings).

  • Strengthen muscles prone to weakening through sitting (Glutes, Abs, Back).

 

Digital Wellbeing and Security

Since much of the work involves online communication, associates must:

  • Use secure, password-protected devices to ensure client confidentiality.

  • Follow company guidelines for data protection and comply with GDPR regulations.

  • Report any digital security concerns, such as phishing attempts or data breaches.

  • Avoid working excessively long hours without breaks to protect mental health and avoid burnout.

  • Remove or monitor use of email and other work related applications on your phone, ensuring adequate down time.
     

Mental Health and Wellbeing
 

Working remotely can impact mental health. To promote wellbeing:

  • Associates are encouraged to maintain a healthy work-life balance, actively seek community and social interaction through other endeavors.

  • Associates are encouraged to take breaks and set clear boundaries for work and non work hours.

  • Associates are encouraged to take rest, sleep and self-care seriously. Nature walks, spa days, meditation, journaling and other forms of self-care.

  • Monthly virtual check-ins with each associate are scheduled with each team leader to ensure the well-being of each associate and their clients.

  • Virtual team meetings, in person retreats and the whatsapp group are available to promote open communication, social interaction and team cohesion.

  • Team leaders are on hand to respond to queries or concerns within 24 hours of receipt.

  • On receipt of a logged safeguarding concern, a team leader will reach out to the individual associate to offer emotional support.

  • All associates are encouraged to access regular professional supervision to maintain their well-being and protect clients.


 

Annual Leave

 

Maintaining personal well-being is especially important in the role of a coach or counselor. Associates must resource themselves, in order to effectively support their clients. 

 

  • Associates manage their client calls and annual leave around their lifestyles.

  • Providing clients are supported effectively, associates can take as much time off as they wish to do so.

  • In the instance of short term illness or absence, associates must inform team leaders. Either with the help of the team leader or independently, associates may rearrange client work around illness/absence.

 

In the event of an emergency associates must:
 

  • Report any serious incidents to team leaders at the earliest opportunity.

  • Associates will be offered practical and emotional support.

  • Associates may take as much leave as required to deal with the personal or family emergency.

  • Where possible, associates are encouraged to support Bee Inspired in arranging adequate alternative care and support for associates current client list. 
     

Reporting Health and Safety Concerns
 

Associates are encouraged to report any health and safety concerns to team leaders. Concerns will be addressed promptly, and appropriate measures will be taken to rectify any issues.
